Scan a receipt (Mobile)

To save time and reduce data entry, you can enter a transaction in OnBalance by scanning a receipt.


  • iOS devices: This feature is available for the iPhone 6s, 7, 8, or X.
  • Android devices: This feature is available with the Nougat operating system or above.
  1. Tap >
  2. Tap Scan Expense Receipt to open the camera on your device.
  3. Position the receipt so that it fits inside the screen. When the camera finds the receipt, you will see a transparent blue shape that captures the receipt data and takes a picture of it.
  4. The receipt scan fills in the Date, Description, and Amount fields in the Expense screen.
  5. A photocopy of the receipt will be attached at the bottom of the screen where you can review, replace, or delete the receipt. 


  • The expense created by the receipt scan will be recorded to your default business. You can change the business on the expense, if necessary.
  • If the camera cannot read information on a receipt (for example, handwritten numbers), OnBalance will underline the text in red so that you can correct it.
  • If OnBalance detects a tip amount on the receipt, it will leave the Amount field blank and display a message prompting you to enter the appropriate amount.

The availability of some or all of these features depends on your OnBalance bundle.
